Personal Information Protection Policy

BRIDGE International Corp. (hereinafter, 'the Company') has established its Code of Conduct which serves as the basis of its business activities and ensures compliance with the three components of the Company's corporate philosophy - Vision, Mission, and Action. One of the 'responsibility' of Action calls for 'compliance with laws, regulations and norms according to the highest ethical standards' in order to 'assume responsibility - without making compromises - and achieve the purpose'. Based on such 'responsibility', in order to execute it and act with the highest ethical standards and social good sense, the Company defines compliance as 'the act of complying with laws, regulations, rules and internal regulations deemed necessary for conducting our business and pursuing our business activities in a fair and honest manner in conformance with the norms accepted by society'. The Company acknowledges that is a serious responsibility to protect personal information acquired through its key business operations, such a Sales BPO. Thereby, the Company has defined its personal information protection policy as follows, and operates accordingly.

 

1. Compliance with Laws, Regulations and Norms

In regards to the handling of personal information owned by or entrusted to the Company, the Company complies with laws and regulations, government policies and other norms related to the protection of personal information.

2. Establishment and Continuous Improvement of Management System for Personal Information Protection

The Company will reorganize its system and standards in compliance with Japanese Industrial Standards 'Personal Information Protection Management System - Requirements' (JIS Q 15001:2006), as well as it will familiarize all employees with it and strive to continuously maintain and improve personal information management systems.

3. Thoroughness of Proper Management of Information

The Company will appoint a personal information manager and take appropriate preventive and corrective measures to prevent any leakage, loss or damage of personal information. Furthermore, we will establish an information security policy and implement appropriate information security measures. Should such incidents occur, we will establish the emergency procedures and develop the system necessary for the performance of these procedures.

4. Acquisition, Utilization and Provision of Personal Information

1) The Company will acquire personal information by legal and fair means with the prior consent from the individual who is the subject of such information. Upon acquiring any personal information, we will specify the purpose of use of such information, make a notification or public announcement of that purpose, and only handle personal information according to the purpose of use agreed to by its owner. The Company will not use or provide personal information for purposes other than those stated.
2) When entrusted with sales BPO services, the Company will conclude a contract with the client and comply with its contents regarding confidentiality of personal information, matters concerning subcontracting, responsibility for accidents, and return or disposal of personal information upon conclusion of the contract.
3) When the Company entrusts a third party with personal information in order to outsource operations, such information will be consigned under strict management, pursuant to the management standards of our consigned companies.

5. Complaints and Requests regarding Handling of Personal Information

The Company has set up a 'Contact desk' where any concerns or complaints received will be treated seriously and confidentially, as well as responded to promptly. When we receive a request from an individual regarding retained personal information to be disclosed, amended, deleted, suspended its use or the like, we shall respond to a reasonable extent.

● Purpose of Using Personal Information

■ Each time we acquire personal information through a written document directly, we shall clarify the purpose of use in a written form and obtain the consent of the individual who is subject to such information. Provided, however, that the above-mentioned process for acquiring of personal information shall not be applied in the following cases.

a) When required by law

b) When it is necessary to protect life, body or property of a person, and it is otherwise difficult to obtain consent of the individual subject to such information

c) When it is necessary to improve public health or to promote healthy development of children, and it is otherwise difficult to obtain consent of the individual subject to such information

d) When it is to cooperate with national institutions or local authorities, or any other party entrusted by them in performing the operations prescribed by laws and regulations

e) When it is likely to harm the rights or legitimate interests of the Company

■ The purpose of use of any personal information we acquire directly from an individual by any other means than the written form, or indirectly from a publicly available source or a third party, as well as the Company's policy for the use of retained personal information are states below.

(1) Any personal information acquired through inquiries and requests for materials regarding our sales BPO services, consulting services, management IT solutions, and similar products, services, or corporate information, through applications for seminars, exhibitions and the like, as well as through the so-called multichannel management, which includes telephone, mail, direct mail, call, and exchange of business cards, shall be used within the scope of the following agreed purposes of use: provision of information and sales activities related to our products and services, request of questionnaires, control of trading partners, etc.

(2) Any information in the public domain (official gazettes, websites, commercially available books and directories, etc.) will make use of personal information with the purpose of providing information about the Company's products, services, seminars, exhibitions and the like, and of conducting all sorts of questionnaire surveys.

(3) When personal information is used jointly with any specific partner company, such information will be used to offer information regarding our products and services, as well as to provide service, only after obtaining the consent of the person who is subject to this information.

(4) Any personal information deposited by the client will be used by the Company for the purpose of performing sales BPO services as a business.

(5) Any personal information related to the Company's shareholders will be used to exercise shareholders' rights based on the Company Law, as well as to manage shareholders by means of preparing shareholders data under the provisions of applicable laws and regulations.

(6) Personal information will be used to perform recruitment activities.

(7) Personal information will be used when implementing employment management and various personnel measures. About retirees, please refer here.

(8) Any personal information collected through recording of phone calls, computer transmission or the like will be used to ensure accuracy and suitability of the information provided.

(9) Any personal information collected through recording of visitors to the Company's facilities, video recordings or the like will be used to manage security against disaster, crimes, etc.

(10) The Company maintains data records including the web pages visited by our customers using cookies on the Company's website. The Company will use such data to deliver useful information to our customers. (11)Google Analytics, a service of Google Inc., is used in order to understand the status of utilization on the Company's website, and to improve services. Google Analytics uses cookies which do not enable users to be identified personally. Director Masae Shiozawa was appointed as personal information protection supervisor on April 1, 2018.

● Personal Information Protection Auditors 

Director Keisuke Arakawa was appointed as personal information protection auditor on November 1, 2017.

● Inquiry Contact

The Company has established a committee receiving jurisdiction over operations flow, manuals, establishment of agreements and education concerning personal information, management and audit of both internal and external data, investigation and support for the inquiries from the owner of the provided information. This Personal Information Protection Committee may receive request for disclosure, revision or suspension of use of personal information. In this situation, the Company shall promptly conduct an investigation of the facts, and consult the customer on disclosure, revision, suspension of use or deletion of personal information. In such case, please understand that we will first confirm that it is a request from the person himself/herself. When the Company takes measures, we will provide notification of the result without delay. However, personal information shall not be considered subject to disclosure in any of the following cases.
A) If making clear the existence or non-existence of such personal information is likely to harm the life, body or property of the individual or any third party
B) If making clear the existence or non-existence of such personal information is likely to facilitate or induce illegal and improper activity
C) If making clear the existence or non-existence of such personal information is likely to cause harm to national security, cause damage to the relationship of mutual trust with another country or an international organization, or cause a disadvantage in negotiations with another country or an international organization
D) If making clear the existence or non-existence of such personal information is likely to hinder the prevention, crackdowns or investigations of crimes, or maintenance of other public safety and order

About Handling of Retirees' Personal Information

The Company has disclosed in advance the purposes for using personal information in this site. However, among these, the purposes of using retirees' personal information handled in 'Implementing employment management and various personnel measures', are described as follows.
1. For contact concerning tasks from the company, acquaintanceship and other, if needed.
2.
3. For managing career history during service at the company, duties, employment, safety management status and the like. For business-related external publication and publicity activities.
4. Other retirees' management
We will deal with any disclosure, revision, suspension of use, or deletion of the purposes of use of personal information designated by the retiree himself/herself, by following procedures pursuant to applicable laws and regulations. We will not disclose any information related to evaluation of employees' performance if this is likely to seriously impede the proper execution of our operations.

About Handling of Personal Information in Recruitment Activities

The Company has disclosed in advance the purposes for using personal information in this site. However, among this, the personal information of all applicants to recruitment activities (hereinafter referred to as 'Applicants` Information') will be handle as follows.
1. Purpose of Use
Unless otherwise provided for in laws and regulations, we will make use of the applicants' information obtained in recruitment activities exclusively for purposes such as employment screening and informal assurances of employment, or management of new recruits.
2. Management of Personal Information
Applicants' information will be strictly managed in accordance with applicable laws and regulations. We will not provide a third party with applicants' information without obtaining prior consent, unless the Company entrusts with operations a company taking adequate safety management measures.

About Acquiring Privacy Mark certification

BRIDGE International Corp. was found compliant with the Japanese Industrial Standards JIS Q 15001;1999 on July 5, 2005, and obtained the 'Privacy Mark' from the Japan Information Processing Development Corporation (JIPDEC). In 2006, with the revision of the JIS Q 15001;2006 Standards, the Company met standards in terms of personal information protection management systems and its Privacy Mark certification was renewed by the JIPDEC. The Company acquired the ISO/IEC 27001:2005/JIS Q 27001:2006 certification on February 12, 2007, however we will strive to provide safer services to all our clients by comprehensively reinforcing control and application systems for personal information protection, and implementing a management system under our Privacy Policy.
